Artificial intelligence (AI) has transitioned from a “futuristic concept” to being an integral component of contemporary medical practice. For podiatric specialists, especially those seeking to balance high-quality care with operational efficiency, AI offers a wide range of assistance. Its uses include enhanced clinical decision-making, streamlined administrative tasks, and improved patient outcomes.

Most practices never make an affirmative decision about the recording. It simply accumulates. That matters because audio and transcripts are discoverable, and if the signed note and the recording of the encounter tell different stories, the recording is the harder document to explain.

Decide deliberately whether audio is retained at all, and if so, for how long. Set the same schedule for interim transcripts and unsigned drafts. Then get written confirmation that the vendor's retention and deletion practices match the practice's policy rather than the vendor's default, which is often longer. Ask what happens at the end of the contract, too: whether data are returned or destroyed, on what timeline and in what format. If the practice cannot answer how long a recording of a patient visit lives on a vendor's servers, that is the first question to resolve.
